TeamTalk Software Ltd ("TeamTalk", "we", "us", or "our") is committed to protecting your personal data. This Privacy Policy explains what information we collect when you use the TeamTalk mobile application and website (collectively, the "Service"), how we use it, and your rights under applicable data protection law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who We Are

TeamTalk Software Ltd is the data controller for personal data processed through the Service. Our contact details are set out in Section 12.

2. Data We Collect

2.1 Account & Profile Data

When you create an account we collect your email address, chosen display name, username (handle), first and last name, and optionally a profile photo, cover photo, biography, country, and sports interests. Placeholder player profiles created by club administrators may include a name and position but are not linked to a real email address.

2.2 Club & Team Data

When you create or manage a club, we collect the club name, handle, description, sport(s), location (place name and geographic coordinates from Google Places), privacy settings, and member information including roles and permissions.

2.3 Content Data

We store the content you create within the Service: messages and media sent in channels, event details (title, date, time, location, notes, pricing), event responses (availability), squad and team configurations, match reports and scores, performance ratings, live match data entries (goals, cards, substitutions, etc.), and statistics derived from those entries.

2.4 Communications Data

We process information about connections between users, including follow requests, accepted followers, and blocked users. We also store notification preference settings (push and email toggles per notification type).

2.5 Device & Technical Data

We collect Firebase Cloud Messaging (FCM) device tokens to deliver push notifications to your device. App Check attestation tokens are generated by your device's security framework (Play Integrity on Android; App Attest on iOS) to verify that requests originate from genuine, unmodified versions of the app. We do not store attestation tokens.

2.6 Payment Data

Subscription payments are processed by our third-party payment provider. We receive limited transaction metadata (subscription tier, status, renewal dates) but do not store full card details on our systems.

2.7 Feedback Data

If you submit in-app feedback, we collect the text of your message and, if you choose to include one, a screenshot of the app at the time of submission.

3. How We Use Your Data

  • Providing the Service — creating and managing your account, clubs, teams, events, messaging, and statistics.
  • Push & email notifications — sending event reminders, squad announcements, follow-request alerts, and other in-app notifications based on your preferences.
  • Transactional email — sending password reset emails via our email delivery partner.
  • Subscriptions — managing your plan tier, enforcing member limits, and processing subscription webhooks from our payment provider.
  • Safety & security — verifying app integrity via App Check, enforcing Firestore and Storage security rules, and investigating reports of policy violations.
  • Improving the Service — analysing aggregate, anonymised usage patterns to fix bugs and develop new features.
  • Advertising — displaying native ads to members of clubs on free plans via Google AdMob (see Section 6).

4. Legal Bases for Processing

We rely on the following legal bases under UK GDPR:

  • Contract performance — processing necessary to provide the Service you have signed up for (account creation, messaging, events, notifications).
  • Legitimate interests — fraud prevention, security, improving the Service, and direct marketing to existing users where not overridden by your rights.
  • Consent — where required (e.g. sending marketing communications); you may withdraw consent at any time.
  • Legal obligation — where we are required to process data to comply with applicable law.

5. Third-Party Services

We share data with the following categories of third parties, solely to the extent necessary to operate the Service:

Google Firebase (Google LLC)

We use Firebase Authentication, Cloud Firestore, Firebase Storage, Firebase Cloud Messaging, Firebase App Check, and Firebase Cloud Tasks to operate the core Service. All Firebase services are hosted in the europe-west2 (London) region. Google acts as a data processor under a Data Processing Agreement. See Firebase Privacy Information.

Google Maps Platform (Google LLC)

Location search and map display within the app use the Google Maps and Places APIs. Location data you enter (e.g. a club's address) is sent to Google to retrieve place details and coordinates. See Google Privacy Policy.

Google AdMob (Google LLC)

Users on the free plan may see native ads served by Google AdMob. See Section 6 for details.

Resend

We use Resend to deliver transactional emails (password resets). Your email address is transmitted to Resend solely for this purpose. See Resend Privacy Policy.

Payment Provider

Subscription billing is handled by a third-party payment provider. When you subscribe, you interact directly with that provider's payment interface, and their privacy policy governs the processing of your payment information.

Google Tag Manager & Analytics

Our website uses Google Tag Manager (with Google Analytics) to understand how visitors interact with our web pages. This involves the use of cookies (see Section 9).

We do not sell your personal data to third parties.

6. Advertising

The TeamTalk app displays native advertisements to members of clubs on the free plan, served by Google AdMob. Google may use device advertising identifiers and limited contextual signals to serve relevant ads. You can opt out of personalised advertising at the device level through your device's privacy settings.

7. Data Retention

We retain your personal data for as long as your account is active. If you delete your account, we will delete or anonymise your profile and associated data within a reasonable period, except where we are required to retain certain records for legal or regulatory purposes. Channel messages and club data may persist in aggregate club records if other members remain active in that club.

Password reset tokens are automatically invalidated after one hour and are deleted upon use or replacement.

FCM device tokens are removed when you sign out or uninstall the app.

8. Your Rights

Under UK GDPR you have the following rights in relation to your personal data:

  • Access — request a copy of the data we hold about you.
  • Rectification — ask us to correct inaccurate data. Most profile and club data can be updated directly within the app.
  • Erasure — request deletion of your data ("right to be forgotten").
  • Restriction — ask us to restrict processing of your data in certain circumstances.
  • Portability — receive your data in a structured, machine-readable format.
  • Objection — object to processing based on legitimate interests or for direct marketing.
  • Withdraw consent — where processing is based on consent, withdraw it at any time without affecting prior processing.

To exercise any of these rights, please contact us at hello@teamtalk.com. We will respond within one month. If you are unhappy with how we handle your data, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

9. Cookies & Website Analytics

Our website (teamtalk.gg) uses cookies and similar technologies via Google Tag Manager to measure website traffic and usage patterns. These include analytics cookies set by Google Analytics. You can manage or disable cookies through your browser settings. The TeamTalk mobile app does not use cookies.

10. Children

The Service is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe a child under 13 has provided us with personal data, please contact us and we will take steps to delete it. Users aged 13–17 should use the Service only with the consent and oversight of a parent or guardian.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you via the app or by email. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
